Proposals for a SOF
event may be submitted by any active member of the SOF, who will serve
as the Event Organizer. The proposal is to be e-mailed to Wendy Heller,
FAAR’ 01, the chair of the SOF Event Committee (wbheller@princeton.edu),
no less then six (6) weeks prior to the date of the event. All proposals
must include the following information:

Purpose
and central focus of the event (lecture, exhibition, concert, etc.)
including a description of how the event furthers the goals set
forth in the Mission
Statement of the Society of Fellows. |

Date,
time, and location, including address of the venue. |
| |
3. |
Estimated
attendance. |
| |
4. |
Request
for funding, including an itemized budget. |
Proposals requesting
more then $500 will require approval by the SOF Council. Once the event
has been approved by the SOF Event Committee, and the date, time and location
are confirmed, printed invitations will be mailed approximately four weeks
prior to the event by the SOF utilizing the SOF and AAR announcement template.
The distribution list for the printed mailing will be coordinated with
the Event Organizer, and may include individuals, groups, and institutions
other then members of the SOF. An e-mail copy of the announcement will
also be sent to all members of the SOF and others included in the distribution
list. The RSVPs for the event will be to Event Organizer using e-mail.
A list of those planning to attend is to be forwarded to the chair of the
SOF Events Committee a week prior to the event.
During the event, the Event Organizer is asked to compile an attendance
list and to take photographs for the SOF News, website, and the AAR archives.
The Event Organizer or an appropriate delegate is also asked to make a
brief welcome announcement acknowledging the sponsorship of the SOF and
efforts of the organizers and hosts, and encouraging attendees to continue
their involvement with and support of the SOF. Event Organizers will also
be sent Dues Cards and should provide an opportunity for those in attendance
to pay their dues.
After the event, the list of those attending and photographs (along with
the names of the individuals in each picture and the name of the photographer)
and any payments of dues are to be forwarded by e-mail to the chair of
the SOF Event Committee, along with a brief description of the event. Once
the attendance list, photographs, description and copies of all expense
receipts are received, the Event Organizer will be reimbursed for all approved
expenses.
